JOB TITLE: Administrative Assistant
Essential Functions and Responsibilities:
- Attendance requirements are full time – 40 hour work week, Monday – Friday.
- Responsible for collecting crew information and emailing out spreadsheets of daily dispatch /media locations of tree crews.
- Create, maintain and update data files (Excel, Word, SharePoint and Smartsheet).
- Perform timesheet and billing support.
- Responsible for sending letters and other types of documentation to customers.
- Process and complete all phone and email requests and questions.
- Support both field personnel and customers.
- Demonstrate organizational skills and the ability to keep track of tasks and deadlines.
- Perform independent work in a safe and efficient manner.
- Learn and perform other duties as required.
Minimum Qualifications:
- Must be proficient with MS Office – with an emphasis in Excel, but to include (Outlook, Word, Access)
- Must possess working knowledge of SAP program
- Must have a high degree of interpersonal skills to handle sensitive and confidential situations, demonstrate poise, tact and diplomacy
- Must have analysis skills to be able to evaluate and analyze disparate sets of data.
- Must be flexible to changing priorities.
- Must be able to write, read and comprehend written and verbal job instructions/information.
- Must be able to communicate with others.
- Must have endurance necessary to perform these duties throughout a standard eight hour day.
- Must have transportation to and from the show up location.
- Must be able to pass a pre-employment drug screen.
- Must be able to pass a background check and Motor Vehicle Records Check (MVR).
- Must have a valid driver’s license.
- Proficiency with 10 Key is preferred.
