Human Resources Coordinator
Asplundh is looking for a Human Resources Coordinator to join our team. The HR Coordinator supports the Human Resources department by assisting with various administrative tasks and coordination efforts. This position requires a detail-oriented, organized, and proactive individual who can efficiently manage coordination of a wide range of HR-related activities, including on-boarding, corporate training events, and handling incoming calls to the HR department.

Essential Functions & Responsibilities:
Onboarding:
- Responsible for initial contact with new hire after offer letter is accepted to begin onboarding process.
- Maintain a welcoming and professional attitude when speaking with the new hires.
- Create new personnel files for new hires.
- Organize and schedule new employee onboarding, including I-9 compliance and drug testing, both on-site and remote.
- Order equipment for new hires and work with IT to ensure the equipment is set up for day one of employment.
- Follow each new hire through the onboarding process to ensure a smooth transition into the company.
- Organize and schedule orientation for all new hires.
- Provide a tour of the building to all new hires.
Ownership of Monthly Town Hall Meeting Coordination:
- Responsible for scheduling and organizing the agenda for the meeting, including collaborating with outside teams for materials and presenters.
- Responsible for creating the PowerPoint presentation for the meeting.
- Collaborate with the IT team for the virtual broadcast of the Town Hall.
- Work with managers and department heads to gather nominations for the company awards.
- Order awards and/or picking up gift cards for recipients.
- Track awards and ensure timely distribution to award winners.
HR Welcome Desk:
- Provide pleasant, professional, and courteous support to all who call or enter the HR department.
- Triage inquiries, answer questions, and resolve requests escalating where appropriate.
- Document and track employee inquiries and concerns for reporting purposes.
Administrative Support:
- Maintain and update HR databases and records, ensuring accuracy and confidentiality.
- Prepare and distribute HR-related documents, such as offer letters, policies, and compliance forms.
- Assist with HR reporting, data analysis, and presentation preparation as needed.
- Collaborate with HR team members on various projects and initiatives.
- Other responsibilities as assigned.
Characteristics of Ideal Candidates:
- Preferably 2-3 years’ experience in an HR related role such as HR coordination, HR assistant, or HR administrative support.
- Previous experience with onboarding preferred.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Exceptional time management skills.
- Excellent communication skills, both written and verbal, with a professional and approachable demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with HRIS systems(Peoplesoft) and database management is a plus.
